# Manage members, assignments and invites

> Invite people, change their role, choose which creators they work on, remove them, and resend or revoke invites in Settings > Members.

In **Settings** > **Members**, you choose who is on your team, what their role is and which creators they work on.

## Before you start

* You need an owner or admin account. Other roles do not see **Members**.
* To learn what each role can do, see [What each team role can see and do](/team/roles-and-permissions).

## Invite someone

  <Step title="Open the Members page">
    In OnlyX, click **Settings**. Then click **Members**.

    The list of everyone in the workspace opens. The owner has an **Owner** badge, and your own row shows **(you)**.

  <Step title="Open the invite window">
    Click **Invite**.

    The **Invite a member** window opens.
  </Step>

  <Step title="Enter their email">
    In **Email**, enter the person's email address.
  </Step>

  <Step title="Choose a role">
    In **Role**, select **Admin**, **Chatter** or **Content VA**. The window opens on **Chatter** at first. If you invite several people in a row, it keeps the role you picked last, so check it each time.

    The role's description shows under the menu.

  <Step title="Pick their creators">
    For a chatter or content VA, click each creator they work on in **Assigned creators**. To pick every creator, click **Select all**. An admin sees every creator, so this list is not shown for **Admin**.

  <Step title="Send the invite">
    Click **Send invite**.

    You see "Invite emailed to" and their address. The invite shows in **Pending invites** until the person accepts it.

The person gets an email with a link to join. The link works for 7 days. To see what they see, go to [Join a team from an invite](/team/join-from-an-invite).

## Choose which creators someone works on

Chatters and content VAs work only on the creators you assign to them. Owners and admins always see every creator, so their rows have no creators button.

  <Step title="Select the creators">
    Click a creator to tick it, or click it again to untick it. A ticked creator has a check mark. To tick every creator, click **Select all**.

  <Step title="Save the list">
    Click **Save**.

    You see "Assignments saved".

The list you save replaces the old one, and it applies at once. If the person has OnlyX open, they see the change when they reload the page.

## Change someone's role

    On the person's row, click the role menu.

  <Step title="Select the new role">
    Select **Admin**, **Chatter** or **Content VA**.

    The new role is saved at once. You see a message such as "Mateo Silva is now Admin", with what the role can do.

<Warning>
  A new role is saved as soon as you select it. There is no confirm step, so check the row before you select.
</Warning>

Changing a role does not change the person's creators. If you make someone a chatter or content VA, [choose their creators](#choose-which-creators-someone-works-on) next.

You cannot change your own role, and nobody can change the owner's role.

## Remove someone

### Before you remove them

We recommend checking these first:

* Make sure another team member has access to the creators they worked on. [Choose another person's creators](#choose-which-creators-someone-works-on).
* In **Settings** > **API & MCP**, review **API keys** they created. These secret codes let apps use the workspace and keep working after a member leaves. Revoke any key they should no longer use: [Create and manage API keys](/referrals-and-developers/api-keys).
* Check **Connected apps** they approved. These stop working when the approver is no longer an owner or admin here. If your team still needs an app, another owner or admin should connect and approve it. Read [See and disconnect connected apps](/referrals-and-developers/connected-apps).

### Remove their membership

    At the end of the person's row, click the cross icon.

    The **Remove this member?** window opens.

    Click **Remove**.

    You see the person's name and "was removed".

The person loses access to this workspace at once, and their creators here are unassigned. Their OnlyX account stays, so you can invite them again later. You cannot remove the owner or yourself. To leave a workspace yourself, see [Leave a workspace](/team/leave-a-workspace).

## Look after pending invites

**Pending invites** lists the invites nobody has accepted yet. Each row shows the role, who sent the invite and when it expires. An invite marked **Expired** stays in the list until you resend or revoke it.

| Button | What it does |
| - | - |
| Link icon | Copies the invite link, so you can send it in any chat app. You see "Invite link copied". |
| Circular arrows | Sends the email again and gives the same link 7 more days, even after it expired. You see "Invite re-sent to" and their address. |
| Trash icon | Revokes the invite at once. The link stops working. |

<Warning>
  Revoking an invite does not ask you to confirm. If you revoke one by mistake, send a new invite.

## If something goes wrong

    OnlyX created the invite but could not email it. The invite link is already on your clipboard. Paste it into a chat with the person. You can copy it again later with the link icon in **Pending invites**.

  <Accordion title="&#x22;An open invite for that email already exists — resend it instead.&#x22;">
    This email already has an invite, maybe an expired one. Find it in **Pending invites** and click the circular arrows to resend it.
  </Accordion>

  <Accordion title="&#x22;That person is already a member of this workspace.&#x22;">
    The person is already in the list. To give them different access, change their role or their creators instead.
  </Accordion>

  <Accordion title="&#x22;That person is already a member — revoke this invite instead.&#x22;">
    The person is already a member of this workspace, so this invite is no longer needed. Click the trash icon to revoke it.
  </Accordion>

  <Accordion title="A chatter cannot see a creator">
    The creator is not assigned to them. Click the creators button on their row, tick the creator and click **Save**.
  </Accordion>

  <Accordion title="The role menu is greyed out on my row">
    Nobody can change their own role. Ask another owner or admin to change it.
  </Accordion>

  <Accordion title="A member shows Deactivated">
    OnlyX support deactivated this account, so the person cannot sign in. To ask about it, email [support@onlyx.ai](mailto:support@onlyx.ai).
